We are on the hunt for a Senior Executive Support Specialist to provide comprehensive assistance to our executive team across various business ventures. This is the perfect role for someone who thrives in a fast-paced environment and enjoys managing a diverse range of tasks from scheduling and communications to special projects and eventual financial oversight.

The ideal candidate will be proactive, detail-oriented, and adept at juggling multiple responsibilities. While familiarity with bookkeeping and QuickBooks is advantageous, this aspect of the role will be introduced gradually as trust and confidence grow.

Key Responsibilities:

  • Deliver comprehensive administrative support to multiple executives.
  • Manage complex calendars, coordinate meetings, and effectively communicate any scheduling changes.
  • Screen and direct communications, including phone calls and messages, for executives.
  • Assist with various special projects, audits, insurance credentialing, and meeting logistics.
  • Prepare, proofread, and edit correspondence, presentations, and reports.
  • Organize and maintain both physical and digital filing systems to facilitate easy document retrieval while ensuring security.
  • Assist with travel arrangements for executives and guests, including lodging, transportation, and event planning.
  • Prepare expense reports, accurately code and submit invoices, and support budgeting activities as necessary.
  • Collaborate on project planning and execution, often across multiple departments or business units.
  • Support internal employee meeting logistics, including setup and materials preparation.

Required Qualifications:

  • At least 5 years of administrative support experience, ideally for senior-level executives in a dynamic environment.
  • Exceptional organizational and time-management skills.
  • Strong verbal and written communication skills.
  • Ability to adapt to changing priorities and balance multiple tasks simultaneously.
  • Maintain a high level of discretion and professionalism, particularly when handling sensitive information.
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Google Workspace.

Preferred Qualifications:

  • Experience with bookkeeping, QuickBooks, and basic financial reporting.
  • Familiarity with insurance credentialing, audits, or regulatory processes is a plus.
