The Outpatient Coding Specialist evaluates medical records and charges to ensure completeness, accuracy, and compliance with ICD-10-CM, HCPCS, and CPT. Responsibilities include reviewing records to identify diagnosis codes and CPT procedures, selecting the first listed diagnosis and principal procedure along with other relevant diagnoses and procedures using outpatient coding conventions and guidelines, abstracting information from the medical record, and querying physicians for clarification or medical necessity when documentation is ambiguous or conflicting. The role ensures coding compliance with ethical standards, regulatory requirements, and HIPAA guidelines. The specialist also provides technical guidance and training on medical coding to physicians and staff.

Responsibilities
  • Evaluate medical records and charges for completeness, accuracy, and compliance with ICD-10-CM, HCPCS, and CPT.
  • Identify diagnosis codes and CPT procedures; select first listed diagnosis and principal procedure; abstract information from the medical record.
  • Query physicians for clarification or medical necessity as needed.
  • Maintain confidentiality and adhere to HIPAA guidelines; ensure ethical coding standards and regulatory compliance.
  • Provide technical guidance and training on medical coding to physicians and staff.
Education, License & Certification
  • Education: High school diploma or equivalent; coursework in medical terminology, anatomy/physiology, disease processes, ICD-9/10-CM coding, and/or CPT coding.
  • License: N/A
  • Certification: Certified (or within one year of employment) by AHIMA, AAPC, or NHA (e.g., CPC, COC, CCS-P or other equivalent).
Experience

One (1) year of healthcare-related work experience or coding experience or an equivalent combination of education and training preferred.

Physical & Mental Demands

Moderately active work requiring sitting, occasional movement throughout the facility, and potential travel within the SRHS service area. Requires ability to handle repetitive motions, fine visual acuity, and the ability to maintain attention to detail and multi-task in complex situations. May involve exposure to body fluids and infectious materials; ability to work under pressure and meet deadlines. Schedule changes may be instituted as needed by the hospital.

Must be able to be active for extended periods and demonstrate strong communication, analytical, and collaborative skills. Proficiency with computers, MS Outlook and Word, and other office technology required.

Mental Demands

Strong decision-making abilities; excellent written and verbal communication; ability to work under pressure and maintain confidentiality.

Special Demands

Superior customer service, professional etiquette, and keyboard proficiency. Ability to apply clinical judgment across patient populations of all ages.

Qualifications (Knowledge, Skills & Abilities)
  • Knowledge of ICD-10-CM and CPT/HCPCS coding guidelines; medical terminology; anatomy and physiology; Medicare reimbursement guidelines; fluent English.
  • Ability to research data, draw conclusions, and apply policies, procedures, laws, and regulations.
  • Ability to read and interpret medical procedures and terminology; independent judgment; excellent written and verbal communication; ability to maintain confidentiality.
