Responsible for developing, reviewing, and implementing departmental policy and procedure updates and corporate contingency planning procedures for Lease Administration. Serve as the Department's liaison with the third party contractor for Lease Administration.
Perform lease abstracts and track/manage lease terms to ensure property management system is current and accurate. Including, but not limited to, Leases, Amendments, Estoppel and SNDAs, Subleases, and Assignments.
Ensure accuracy of data entry and maintenance of portfolio in Lease Database with renewals, revocations, expansions / contractions, landlord / property manager information, etc.
Coordinates the setup of files for all new Income and Expense leases: Reviewing all correspondence associate with new leases, identifies all Insurance requirements in lease and provide information to Corporate Insurance to issue Certificate of Insurance and any other insurance as required as a condition of the lease.
Responsible for the development of new policy and procedures, revising existing to conform to new procedures and requirements in areas of responsibility.
Coordinates with the division third party contractor for lease administration. Will continually review all processes and procedures for leases expense and income to minimize risk and ensuring accurate records and documents are maintained.
Manage the initial review of all new and renewing leases relative to pertinent information for items requiring immediate attention, obtaining Information to request funds as required by the lease.
Responsible for ensuring third party contractors for Real Estate and Personal Taxes and lease administration are receiving, researching, and accounting annual tax payment. Ensures payments are accurately documented and paid in the accounting system.
Responsible for proper income allocation of Oil, Gas, and Mineral Lease revenue as managed by the Corporate Trust Department. Liaison with Trust Department on a myriad of correspondence issues involving OGM leases.
Participates with management and property managers for the review, monitoring, tracking and reporting of critical dates, in conjunction with third party.
Assist with lease audits to ensure information is accurate and terms of the lease are consistently adhered too.
Generate and review reports from the property management system to monitor status of outstanding transactions and ongoing activity including delinquencies, rent increases, and lease expiration.
Assist in the validation and update of the Bank Statement of Values for required insurance.
This position does not have supervisory responsibilities.
Associate's or Bachelor's degree preferred or HS diploma or equivalent with 4 years of related experience
A comparable combination of education, experience and or training will be considered.
Commercial Real Estate Lease Administrator experience (2+ years minimum)
Thorough knowledge of CAM Reconciliations
Minimum of 2 years of general accounting experience
Great attitude and flexible personality to assist the rest of the team as needed
Proficiency in Microsoft Office suite of products
Strong oral and written communications skills
Ability to multitask in a fast-paced environment
Ability to work under pressure and meet deadlines
Experience with customer relations and satisfaction
May be required to provide administrative support to other personnel within the department.

Ability to lift/move/carry approximately 10 pounds if required to perform the essential job functions.
