The Medical Records/ Supply Clerk is responsible for managing the medical records on each resident in accordance with established facility protocol, standards of practice and state and federal regulations. The Clerk ensures records are complete, accurately documented, readily accessible and systematically organized. The Clerk will also maintain adequate supplies in the facility and manage the purchase order process.

Responsibilities

  • Responsible for managing and maintaining the medical records for all residents to assure the facility maintains accurate, complete, accessible and organized clinical information about each resident that is readily accessible for resident care.
    • Responsible for filing Medical records in the current resident weekly and preparing new admission charts.
    • Audits discharge charts for accuracy, completeness, appropriate signatures, and files in the appropriate order.
    • Prepares Death certificates and forwards to the appropriate agency or requester.
    • Coordinates thinning and storage of resident documentation in compliance of governing agency regulations.
  • Maintains medical and stock supplies.
    • Assists with maintaining stock supply rooms and nurse station supply rooms.
    • Receives and verifies purchase order on all supplies.
    • Maintains master copy book and necessary forms at each nurse stations and for administrative staff.
    • Researches and corrects any discrepancies with the purchase orders relating to errors.


Qualifications

Required Qualifications:

Education: High School Diploma or Equivalent

Experience: One (1) year of clerical experience in a healthcare setting.

Required Knowledge, Skills, Abilities: Excellent verbal and written communication skills. Ability to communicate effectively with patients, families, clinical staff and providers. Ability to multi-task and prioritize. Ability to work independently as well as with a team. Proficiency with Microsoft Office applications.
