Works independently to provide clerical support for the Division/Department.

Responsibilities
  • Receives, handles, and transfers phone calls and messages, and provides assistance and guidance to visitors.
  • Responds to visitors and telephone inquires, assisting if possible or referring to the appropriate person or department.
  • Takes complete and accurate messages when an appropriate person is not available and delivers promptly.
  • Coordinates the clerical activities of the department.
    • Sets priorities and produces work by the established due date.
    • Prepares reports, correspondence, or other written material, including typing and copying as directed and forwards to the appropriate area.
    • Responds to correspondence not requiring the attention of designated staff member(s).
    • Information submitted to the department is logged, processed, and/or forwarded in accordance with established procedure(s).
    • Maintains files in an accurate, easily retrievable manner.
    • Ensures that the office is maintained in an organized manner in order to ensure the needs can be met promptly and efficiently.
  • Schedules and coordinates meetings and facilities.
    • Coordinates meetings by coordinating schedules, reserving rooms, ordering supplies, taking minutes, or other duties as assigned.
    • Maintains manager's appointment calendar.
Qualifications

Education:

  • High School or GED

Experience:

  • 3 years of clerical experience or two (2) years of secretarial experience in a customer service environment
